Embrace Change and Adaptability

Shane’s pri­ma­ry advice for facil­i­ty man­agers is to embrace the unpre­dictable nature of the job. It’s so unpre­dictable, and no mat­ter what you try and put any kind of struc­ture around it, it’s very unpre­dictable,” he empha­sizes. This unpre­dictabil­i­ty requires two key per­son­al traits: agili­ty and adapt­abil­i­ty. Shane stress­es the impor­tance of being able to piv­ot quick­ly and run in anoth­er direc­tion when faced with changes.

Orga­nize for Success

One of Shane’s key strate­gies is main­tain­ing a robust file struc­ture and con­sis­tent nam­ing con­ven­tions. He explains, A robust file struc­ture is huge. And nam­ing con­ven­tions, nam­ing every­thing the same so that when you start cycling through, you have it.” This approach allows for quick access to his­tor­i­cal data and helps rebuild mem­o­ries of past projects and decisions.

Effec­tive Communication

Shane high­lights the impor­tance of under­stand­ing your audi­ence when com­mu­ni­cat­ing. He advis­es tai­lor­ing your com­mu­ni­ca­tion style to dif­fer­ent per­son­al­i­ties and learn­ing styles. You have to under­stand your audi­ence before you can address that com­mu­ni­ca­tion because you have to know how to present it,” he explains. This may involve using tech­ni­cal data, col­or-cod­ed maps, or sim­ple bul­let points depend­ing on the recipient.

Main­tain Orga­ni­za­tion and Cleanliness

Shane empha­sizes the impor­tance of orga­ni­za­tion and clean­li­ness in facil­i­ty man­age­ment. He attrib­ut­es this to cre­at­ing effi­cien­cies and imple­ment­ing rou­tine pre­ven­tive main­te­nance (PM) tasks. If you’re not doing a PM, if you’re not mak­ing some­body respon­si­ble for it, it’s going to fail,” he states. Assign­ing clear respon­si­bil­i­ties and account­abil­i­ty is cru­cial for main­tain­ing a well-orga­nized facility.

Bal­ance Com­pli­ance and Practicality

When deal­ing with reg­u­la­tions and safe­ty con­cerns, Shane advis­es con­sid­er­ing mul­ti­ple per­spec­tives. He shares an exam­ple from his phar­ma­ceu­ti­cal expe­ri­ence, where address­ing a slip­pery floor issue required bal­anc­ing safe­ty con­cerns with clean­li­ness require­ments.
